Office Manager Position:

The Bowling Green Area Chamber of Commerce (www.bgchamber.com) seeks a self-motivated, energetic, experienced individual to fill the position of Office Manager and join our award winning Chamber team. The core responsibilities of the position are the management of all for both Chamber and ITA offices, functioning of the front office/staff, building maintenance, board meeting coordination, and office technology and equipment maintenance.

Essential Functions and Basic Duties:           

 

  • Property management:  building/lot maintenance, landscaping, coordination of cleaning service, facility and equipment rentals, etc.
  • Technology, information, and communication systems management:  computer network hardware and software, AV equipment, access control, security system, fire alarm system, telephone system, and staff cell phones.
  • In-house expert on the chamber’s membership database, providing supervisory support to the receptionist/database administrator.
  • First level technical support/troubleshooting.  Responsible for working with contracted higher level technical support.
  • Mailroom management: responsible for incoming and outgoing mail and packages.
  • Front office management:  training and supervision of front office staff and interns.
  • Intern program management: recruiting, selecting, orientation/training, etc.
  • Equipment management:  maintenance of all office equipment, bidding and selecting leased equipment, determining other needed equipment, etc.
  • Adherence to certain budgets for office equipment, supplies, maintenance, etc.
  • Day-to-day operations:  coordination of front office coverage, coordination of staff meetings, improvement of staff efficiency/work flow, maintenance of master calendar, etc.
  • Assist COO with various strategic initiatives planning, scheduling, reporting.
  • Board of Directors coordination: Chamber, Chamber Foundation, BGAEDA, ITA, and RDA.
  • Coordination of assigned events including but not limited Christmas Open House.
  • Handles small-ticket purchasing with referral to COO/CFO on larger ticket items.
  • Document Procurement and retention duties as assigned.
  • Other duties as assigned.

Education/experience: Bachelor’s degree required. Plus two to five years’ experience preferred.  A successful candidate will have excellent communication, interpersonal, and organizational skills.
